You will not use Letterbox in a fashion that is detrimental to Letterbox's reputation, security, operation or other users

You will not try to circumvent membership restrictions
We reserve the right to terminate or suspend your account if we suspect abuse or unintended use of the service
We reserve the right to terminate or suspend your account at any time for any other reason

Sending unsolicited emails
Letterbox is not intended to be used for sending any form of spam or unsolicited emails
Including any bulk emails, e.g. newsletters or marketing emails
Never send any chain letters or pyramid schemes
Receiving spam and unsolicited emails
We try to minimise spam and unsolicited emails
But we cannot guarantee that you will not receive any spam or unsolicited emails
Unfortunately spam is ubiquitous on the internet and impossible to stop completely
It is a constant evolving battle to minimise spam and unsolicited emails
By using Letterbox you agree that you may occassionally receive a minor amount of spam and unsolicited emails

Message delivery and service availability
Letterbox is not intended to be used for any critical or time sensitive messages
Letterbox is not an instant message delivery
Most messages are delivered witing a few minutes but some may take longer
Service uptime and availability is not guaranteed but we strive to be up 99% of the time
A detailed delivery and service availability policy will be available soon
Business and Enterprise tier members will have seperate SLA agreements covering many service aspects
Privacy
We try to store as little information as possible about you, your forms and your messages
But some basics are kept for operational, security, billing and legal reasons
Some data are retained in backups and logs for a limited time
We do not sell or share your information with any third parties
Except data required for billing and legal reasons
And email address required for sending messages via 3rd party email providers
We do not use your information for any marketing purposes

What data do we store
We store your email address, password and IP address
Our billing provider Braintree stores your payment details
If enabled, our archive service stores your messages
Archived messages are retained for a minimum of 30 days
Messages older than 30 days may be automatically purged to manage storage
You can delete your archived messages at any time through your account settings
Cookies
Letterbox stores an encrypted cookie in your computer's browser
This token contains your email address but no other personal information
Inactive accounts
An account is considered inactive if the owner has not logged in for 12 months or more
Accounts with an active paid membership are exempt from automatic inactivity actions
We will send a warning email to your registered email address when your account is identified as inactive
A second warning email will be sent 30 days later if no login activity has occurred
If the account remains inactive 14 days after the second warning, it will be disabled
A disabled account cannot send or receive messages but your data is retained
You will receive a notification email when your account is disabled
You can reactivate a disabled account at any time by logging in
Incomplete accounts
An account is considered incomplete if it has no verified email address or no active contact forms after a reasonable period following registration (at least 30 days)
Accounts with an active paid membership are exempt from automatic actions
We will send a warning email when your account is identified as incomplete
A further warning email will follow if the account setup has not been completed
If the account remains incomplete after warnings have been sent and a reasonable grace period has passed, it will be disabled
You will receive a notification email when your account is disabled
If the account remains disabled for at least 30 days, it will be permanently deleted along with all associated data
You can prevent disabling or deletion by completing your account setup (verifying your email and creating a contact form)
Price and membeship changes
We reserve the right to change the price and membership terms at any time
We will notify you of any price changes by email and by posting the new price on this page
Price changes will take effect at least 6 months after we notify you
